How do I organise and send batch document requests?

How do I send document requests in Collect?

Requests in Collect are grouped into batches. A batch is a single round of document requests sent to clients together, rather than sending requests one by one, you curate everything upfront and send it as a set.

This gives clients a clear picture of what's needed and gives you an easier way to track what's been sent and what's still outstanding. Nothing sends automatically; you stay in control of what goes out at every step.

How to create your first batch

  1. Open Collect for the relevant client.

  2. Select Create batch to start building your requests.

  3. Review the document requests suggested based on the client's transactions.

  4. Add, remove, or adjust requests as needed.

  5. Assign requests to the right client contacts.

  6. Set a due date and send.

Can I edit a batch after sending?

You can add new requests to an open batch at any time. Requests that have already been sent to a client will remain visible to them until they're marked as complete or withdrawn.

Can I have more than one batch open at a time?

Yes. If a client has ongoing or recurring requests, you can run multiple batches in parallel. Each batch is tracked separately, so you can see the status of each round independently.
