How does Mimo connect to Xero?

Mimo uses the Xero API to keep data in sync in both directions. Mimo reads your Xero data and writes back actions you take in Mimo, such as publishing a scanned document or accepting an adjustment suggestion. Entries are posted directly to Xero, not staged as drafts. If you want to check the connection status, you can find it in the app header.

How often does Mimo pull data from Xero?

Mimo pulls fresh data from Xero automatically each day. If you need your data to be up to date right now, you can trigger a manual sync at any time from the app header.


Collect

How does Mimo decide which transactions need a document request?

Mimo looks at unreconciled bank statement lines in Xero and creates a Missing Document request for any transaction where a document hasn't been received. Before doing so, it checks whether a document already exists in Xero but hasn't been reconciled yet, for example, an unpaid supplier invoice, and excludes those to avoid unnecessary requests.

Can I request a document for a transaction Mimo has excluded?

Go to the Excluded tab in Collect. You'll find all transactions that Mimo has automatically excluded, and you can create a request manually for any that need one from there.


Scan

What status does a document get when it's published to Xero from Scan?

By default, documents are published as "Awaiting payment." You can change this before publishing if a different status is needed.

How do I edit a document I've already published to Xero?

Changes to documents that have been published to Xero need to be made in Xero directly. From Mimo, click "View in ledger" on the published document, this links straight to the entry in Xero. Any updates you make there will sync back to Mimo.

Can I get back to a Mimo document from Xero?

Yes. Documents published to Xero from Mimo include a "Go to Mimo" link, so you can navigate back to the original document in Mimo without having to search for it.


Adjustments

How does Mimo post prepayment and accrual entries to Xero?

When you approve a new prepayment or accrual in Mimo, two things happen: (1) an initial journal entry is created and posted to Xero immediately, and (2) a release plan is created in Mimo for future periods. The initial journal is dated on the last day of the current closing period.

When are monthly releases posted to Xero?

Each release journal is dated on the last day of the period it belongs to. By default, releases are posted by Mimo's nightly sync after that date has passed, and Mimo groups all releases for the same period into a single manual journal in Xero (so you don't get one journal per release line). If you want the releases posted sooner, click "Publish now" and Mimo will post all releases in the current closing period immediately.

Does "Publish now" apply to just one schedule?

No. "Publish now" posts every release that is ready to be published in the current closing period (across all prepayment/accrual schedules), not just the next release in the schedule you're looking at.

What happens if Mimo can't post a journal to Xero?

You'll see a clear error message explaining why. The most common reason is that the period is locked in Xero. Unlock the period in Xero and then re-publish from Mimo.

How do I edit or delete a published prepayment or accrual?

The Xero API doesn't allow third-party tools to delete manual journals, so deletions need to be done in Xero directly. For smaller changes, like adjusting the release timing or expense account, you can update these in Mimo and republish. For larger amendments, remove the schedule in Mimo and delete the corresponding journal in Xero, then add it back in Mimo from scratch.


Bank Reconciliation (Beta)

How does Mimo use my Xero data for Bank Reconciliation?

(This feature is currently in Beta.) Mimo pulls your account transactions and bank feed lines from Xero and reconciles both against your uploaded bank statement to identify discrepancies. Most suggestions link directly to the relevant entry in Xero so you can address them there.

Can Mimo post anything to Xero from Bank Reconciliation?

(This feature is currently in Beta.) In some cases, yes. If Mimo finds a transaction on your bank feed and bank statement but no matching entry in Xero, it will suggest creating a Spend Money or Receive Money entry. Nothing is posted automatically - you need to click "Post to Xero" to confirm. Once posted, the entry will automatically match to the bank feed line in Xero.
