Introduction
Reminder flows enable you to efficiently manage payment reminders by defining both the audience and the sequence. You can fully customise reminder flows to meet the specific needs of individual customers or groups, tailoring your reminder strategy to align with their unique behaviours. Here’s a quick guide on how to build reminder flows.
Getting started with the reminder flow builder
The Reminder Flow Builder is accessible under Settings > Reminders in the platform. On the General page, you’ll find an overview of all your customers, including their payment scores, assigned reminder emails, and the type of flow they are currently using (e.g., smart reminders, no reminders, or custom reminders). By clicking on a customer, you can edit their email settings and adjust the current reminder setup as needed.
Custom Reminders
The Custom Reminders page displays all the reminder flows you’ve created. This is also where you can start creating new reminder flows. Each flow will be listed with its assigned name and a summary. From this page, you can edit, delete, or create new reminder flows as needed.
Messages
In the Messages page, you can easily view and edit all the messages that will be sent to customers within a reminder flow. To help you get started, we’ve included a default message titled “Friendly Reminder” that you can use in your workflows. Additionally, you can create custom messages tailored to your needs. While you can edit existing messages here, note that messages in use within a workflow cannot be deleted.

Create the first custom reminder flow
1. Set the reminder flow name
Begin by giving your reminder flow a clear and descriptive name. This name helps you quickly identify and manage your flows, especially if you have multiple flows set up. For example, you might name it based on its tone (e.g., “Strict Payment Reminder” or “Friendly Follow-Up”) or tailor it to a specific customer segment.
2. Define reminder flow conditions
After naming your flow, start by setting the conditions that will trigger it. The first condition relates to the invoice amount—whether it’s greater than or less than a specified amount. By clicking on the flow, you can adjust these conditions as needed.
3. Configure reminder flow actions
Once the conditions are set, it’s time to define the actions. Specify the type of reminder to be sent and the timing. For example, you can use the default “Friendly Reminder” message included in the platform or select a custom message you’ve created. Ensure any custom messages are set up before starting a flow.
4. Set reminder flow frequency
Customise the frequency and timing of your reminder flows by deciding how many days after an invoice becomes overdue a reminder should be sent. You can also set how often to repeat the reminder, whether just once or every few days, for a maximum number of days. These flows can be combined for added flexibility—see the examples below.
Examples of reminder flow setups
Simple reminder flow sending once
Below is an example of a reminder flow using a one-time frequency. In this scenario, reminders are automatically sent when an invoice is overdue by a specific number of days: the first reminder is sent 1 day after the due date, the second after 5 days, and the final reminder after 10 days.
Simple reminder flow sending every then
Below is another example of a reminder flow that uses both a one-time reminder and the recurring “send every” frequency. In this setup, an initial reminder is sent once the invoice is 1 day overdue. After that, reminders are sent every 5 days, starting from when the invoice is 5 days overdue, for a maximum of 30 days. You can adjust the timing and frequency to suit your specific needs. Alternatively, you can opt to use only the recurring “send every” frequency without combining it with an initial one-time reminder.
Activating reminder flows for customers
Once you’ve created one or more reminder flows, it’s time to activate them for your customers. You have full control to customise which customers receive specific reminder flows. To assign a flow, go to the General section, click on the customer you’d like to update, and choose the appropriate reminder flow from the right-hand sidebar. All your existing reminder flows will be listed.
Editing or removing reminder flows
All reminder flows are fully editable—simply click “Edit Reminder Flow” to make changes. You can also delete existing reminder flows if needed. However, please note that if a reminder flow is currently active for any customers, deleting it will automatically reset their flow to “No Reminder Flow” by default.
